πŸ›  HubSpot Setup & Connection (Outlook & Calendar)

The goal is to make sure your Outlook email and calendar are always synced with HubSpot, so every email, meeting, and activity is tracked automatically.

1️⃣ Install HubSpot Tools

  • Download the HubSpot Sales Extension for Outlook:
    • Go to [HubSpot Settings β†’ General β†’ Email β†’ Email Integrations]
    • Select Outlook / Office 365 and install the add-in
    • βœ… This allows you to log & track emails directly from Outlook
  • Optional (recommended): Install the HubSpot Desktop App or Mobile App
    • Mobile app β†’ lets you check contacts, scan business cards, and log calls easily

2️⃣ Connect Your Outlook Email

  • Go to HubSpot β†’ Settings β†’ General β†’ Email β†’ Connect personal email
  • Choose Office 365 / Outlook
  • Log in with your company email + password
  • βœ… After setup, test it by sending an email β†’ check if it appears in the contact’s timeline in HubSpot

3️⃣ Connect Your Calendar

  • Go to HubSpot β†’ Settings β†’ General β†’ Calendar β†’ Connect calendar
  • Select your Outlook/Office 365 calendar
  • βœ… This allows:
    • HubSpot to automatically log your meetings
    • Prospects to book time via your HubSpot meeting link (if enabled)

4️⃣ Verify Connections (Very Important ⚠️)

  • In HubSpot Settings, check under Email & Calendar β†’ both should display Connected
  • If they show β€œDisconnected”, click Reconnect and log in again
  • πŸ’‘ Tip: Tokens can expire every few months β†’ always reconnect if HubSpot stops syncing

βœ… Once done, HubSpot will:

  • Log all your Outlook emails automatically
  • Sync your calendar meetings
  • Ensure smooth scheduling with prospects
